Artists must provide accurate information about themselves and their submitted artwork, including relevant dimensions, materials, presentation requirements and images.
Each applicant may submit a maximum of four artworks.
Submitted images should accurately represent the artwork being considered.
Submitting artwork does not guarantee selection or inclusion in the festival exhibition.
4. Selection Process
All eligible submissions will be reviewed by the CIFF arts and curatorial team.
Selections will consider artistic merit, originality, relevance to the festival programme, available exhibition space and practical installation requirements.
CIFF reserves the right to determine which artworks are selected and how they are presented within its exhibition programme.
Successful artists will be contacted directly with further information about the exhibition, venue arrangements and next steps.
5. Artwork Ownership and Copyright
Artists retain full ownership and copyright of their original artworks.
By submitting, artists confirm that:
-
The artwork is their own original creation or that they hold all necessary rights and permissions to submit and exhibit it.
-
The artwork does not knowingly infringe the intellectual property rights of another person or organisation.
-
They have obtained any relevant permissions relating to third-party material incorporated into the work.
Submission does not transfer ownership or copyright to CIFF.
6. Exhibition and Artwork Availability
Selected artworks must be available for the full exhibition period, 9–20 November 2026, unless alternative arrangements are agreed in writing.
Exhibition locations and installation details will be confirmed with successful applicants.
CIFF may allocate artworks across participating venues based on suitability, available space, curatorial considerations and technical requirements.
Artists will be informed of relevant display arrangements before their participation is finalised.
7. Artwork Delivery and Exhibition Arrangements
Artists selected for the CIFF 2026 exhibition will receive further information regarding exhibition venues, artwork delivery, installation and collection arrangements.
Unless otherwise agreed, artists will be responsible for arranging and covering the costs of delivering and collecting their artworks.
All arrangements will be confirmed with selected artists before their participation is finalised.
Artists will have the opportunity to review these arrangements and decide whether to proceed with exhibiting their work.
8. Artwork Insurance and Liability
Croydon International Film Festival (CIFF) does not currently provide insurance coverage for artworks submitted to or selected for its visual arts exhibition.
Artists should be aware that their artworks will not automatically be covered against accidental damage, theft, loss or damage during transportation, installation, exhibition or collection.
Artists are encouraged to arrange their own appropriate insurance coverage should they wish to protect their work against these risks.
CIFF will work with participating venues and artists to establish reasonable arrangements for the safe handling, installation, display and collection of artworks.
Before confirming participation, selected artists will be provided with further information regarding exhibition arrangements, security measures and responsibilities relating to their work.
CIFF does not guarantee that artworks will be free from all risk. Any responsibility for loss or damage will be determined in accordance with the applicable agreement and UK law. Nothing in these terms excludes or restricts liability where such exclusion or restriction would be unlawful.
Submission of artwork does not constitute an agreement to deliver or exhibit the work. Selected artists will be able to review the exhibition arrangements before confirming participation.
9. Artwork Sales
Artists may indicate whether their submitted artwork is available for sale.
CIFF does not charge commission on artwork sales.
Where sales enquiries arise during the exhibition, CIFF may facilitate introductions between interested buyers and artists.
Unless otherwise agreed, sales transactions, payment arrangements and fulfilment will remain the responsibility of the artist and purchaser.
10. Photography, Publicity and Promotion
By submitting, artists grant CIFF a non-exclusive, royalty-free licence to reproduce and share images of their submitted artwork for purposes directly connected with reviewing, presenting, documenting and promoting the CIFF 2026 visual arts programme.
These uses may include:

-
Exhibition listings, programmes and promotional materials.
-
Press releases and media coverage.
-
Festival documentation and post-event reporting.
CIFF will make reasonable efforts to credit artists wherever their artwork is reproduced.
This permission does not transfer copyright or authorise CIFF to sell reproductions of submitted artwork.
Any separate commercial use will require additional permission from the artist.
11. Changes to the Exhibition
CIFF reserves the right to make reasonable changes to exhibition locations, schedules, installation arrangements or programme content where necessary for operational, safety or circumstances beyond its reasonable control.
Artists affected by significant changes will be informed as soon as reasonably practicable.
If an exhibition or display cannot proceed, CIFF will communicate with affected artists to discuss appropriate next steps.
12. Withdrawal of Artwork
Artists wishing to withdraw their submission should notify CIFF as soon as possible.
Once an artist has accepted an exhibition invitation, any withdrawal should be communicated promptly to minimise disruption to exhibition planning.
CIFF reserves the right to withdraw an artwork from consideration or display where necessary because of safety concerns, rights issues, inaccurate submission information or significant operational constraints.
13. Personal Information and Privacy
